One vehicle or two is a real decision, not a rounding exercise

Eighteen people fit on one luxury bus. They also fit in two Sprinters, and which is better depends on what the group is doing. One vehicle means one departure, one arrival, and nobody wondering where the other half went — the right call for a tasting day or a venue arrival where the group should land together. Two vehicles mean the party can split: half back to the hotel early while the rest stay out, or two itineraries running in parallel. Splitting also buys access, since two vans reach places a coach cannot. We will lay out the trade honestly rather than defaulting to whichever is easier to dispatch.

Luggage is what actually limits a group, not seats

Seated capacity and useful capacity are different numbers, and airport work is where the gap shows. The passenger van seats fourteen and carries about ten bags; a group of fourteen arriving from a week away with checked luggage each has exceeded the vehicle even though everyone has a seat. The luxury bus takes twenty-four with room for sixteen bags underneath. The executive Sprinter trades two seats for legroom and cabin height, so it holds eleven comfortably rather than fourteen tightly. When you book, tell us bags as well as bodies — golf clubs, ski gear, instruments, trade-show cases, and a wine-country group's cases on the way home all consume space that a headcount does not reveal.

Multi-vehicle days stay together on purpose

Convoys do not hold themselves together; they hold together because someone planned for the split. On a multi-vehicle job we designate a lead vehicle, pre-brief every chauffeur on the full route rather than just their own manifest, and set a rally point ahead of each stop so vehicles arrive within a couple of minutes of one another instead of trickling in over a quarter hour. Passengers are assigned to a vehicle by name before the day, which sounds bureaucratic until you have watched forty people try to self-sort into three vans in a hotel driveway. You get one point of contact for all of it — not a phone number per vehicle.

Where the big vehicle physically cannot go

Size solves capacity and creates access problems. Plenty of wine-country estates are reached by a single-lane gravel drive with vines to the shoulder and a turnaround at the top built for a pickup truck. Historic town centers add their own limits: the streets around the Sonoma Plaza and Healdsburg Plaza are not coach-friendly at the curb, and some hotel porte-cochères will not take the height of a bus. We check clearance, turnaround, and any on-site vehicle cap before quoting, and where a coach will not work we substitute two vans that carry the same people and actually reach the door. That check happens before you book, not when the driver is already committed to the driveway.

How group bookings are quoted

Quoting is per vehicle, and the structure follows what the vehicle is doing. A single group transfer — a block of arrivals from SFO to a hotel, a hotel to a venue and nothing after — is flat-rate, quoted upfront and all-inclusive. A group day where the vehicles stay with you between stops is hourly with a daily minimum, which is the right structure for tastings, offsites, and anything with more than two stops. Multi-vehicle jobs are quoted the same way per vehicle, so adding a fourth van to a three-van plan changes the number in a way you can see.
